Manager Guide to Performance Check Ins

This procedure applies to all employees once the probationary period has been completed. This procedure does not form part of any employee’s contract of employment and it may be amended at any time.
Disability
If your performance has been impacted by a disability, we will talk to you about whether there are reasonable adjustments that could be made to your working arrangements, including making changes to your job or providing additional equipment or training. Reasonable adjustments to this procedure will also be made where required.
Minor Performance issues
We want to support our colleagues to improve their performance. Performance issues should normally be dealt with informally between you and your line manager as part of day-to-day management. Informal discussions can help to: clarify the required standards, identify areas of concern, establish the likely causes of poor performance, identify any training needs; and/or set targets for improvement and a time-scale for review.
The formal procedure should be used for more serious cases of underperformance, or in any case where an earlier informal discussion has not resulted in a satisfactory improvement.
Formal Process
Step 1 - Invitation to a meeting
If your performance has not improved following the informal approach or if the performance issue is serious, the formal stages of the procedure will be followed.
A formal meeting will be arranged to discuss your performance and you will be told in writing the date, time and place of the meeting. The letter will set out the shortfalls in your performance, the standards expected and include any information or evidence about your performance. You will also be made aware of the possible outcomes of the meeting.
The meeting will be held as soon as reasonably possible, but we will also balance this with allowing you time to prepare. It will depend on the concerns, but typically the meeting will be scheduled 7 days of you receiving the information.
